How to Book Accommodation
To book, complete the Online Registration Form. The Conference Managers will forward your contact details, reservation and deposit or credit card details to the hotel of your choice.
If your organisation would like to make a group booking at a hotel/s not listed on this website the Congress Managers can secure rooms and negotiate group rates on your behalf with the hotel of your choice. Rooms are being held by The Congress Managers on behalf of the attendees until 21 June 2011. All hotel accommodation bookings must be accompanied by a minimum one nights room rate or credit card details in order to secure a reservation. The Congress Managers will accept accommodation deposits up until 21 June 2011 and will settle the deposit with the hotel. Attendees must settle the balance of their account with the hotel concerned upon check out.
Late bookings can be made through the Congress Managers after 21 June 2011 but are subject to availability and credit card details are required to secure the reservation. One nights room rate will be deducted from the supplied card, by the hotel, if the reservation is cancelled or the delegate fails to arrive on the specified date.
Change of Booking
Any change to a reservation must be notified to the Congress Managers and not directly to the hotel. Please note that any changes should be made to the Accommodation Managers by 07 July 2011.
Please indicate on your registration form or notify the Congress Managers in writing if you will arrive at your hotel after 18.00 hours as failure to do so may mean that your room will be released.
Check-in and Check-out times
Check-in time is generally 15.00 hours and Check-out time is 10.00 hours. Should you wish to guarantee check-in before15.00 hours you will need to pre-book, and pay for the previous night. If you wish to guarantee a late checkout you will need to book for the next night. These additional nights can be booked at the time of making your reservation. If required please indicate on your registration form.
Hotel Check in Procedures
As per standard hotelpolicies and procedures attendees will be required to provide a credit card orfull cashpayment upon check in. This is to cover anyincidental charges incurred during your stayandall remaining unpaidroom nights, regardless if your booking was guaranteed by a deposit to secure your booking.
The hotel will hold on your credit card, until point of check out, allunpaid accommodation nights reserved plus a daily amount for incidental charges. If youwill be settling your accommodation accountby cash you will be asked to pre pay for your accommodation in full plus a cash deposit for incidentals. Should you not utilize any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check-out. Please note the daily incidental charge may vary across the listed hotels.
Accommodation Cancellation Policy
The deposit is non-refundable at 21 June 2011 and will be forfeited if you do not arrive on the date for which you have booked or you cancel your accommodation. Cancellations must be made in writing to the Accommodation Managers.
For all bookings that have been paid in full, please note if you do not arrive at the hotel on the specified date the hotel will hold the room for each paid night and all monies will be retained by the hotel.
